To create a new Aero using a Library Template, navigate to Library > Library Templates.
Use the sort and filter features of the Library Template grid to find a template you want to use. Depending on your subscription level, you may not have access to all templates. Click the Add Aero button to use the template you've selected to create a new Aero for your firm.
An Edit Aero screen will open so that you can schedule the Aero and assign it to a client and a Team Member. The fields you can fill out are as follows:
Scheduled Start Date *Required | The date the task will appear on the assigned staff person's Aero list. The date and time defaults to when you are creating the Aero. To change the date, click on the calendar icon. To change the time, click on the clock icon. |
Scheduled Duration *Required | The estimated time the task should take. To change this, click on the clock icon or simply type in a new time. Note: time must be entered in this format: hh:mm |
Due Date | If you want to specify a window of time for the task to be performed in, you can add a absolute due date here. For example, if the task is to reconcile accounts, and the Start Date is on the first of the month but it just needs to be completed by the 10th, you can put the 10th in as the Due Date. |
Assigned To *Required | The team member the task is assigned to. This defaults to you, but you can change it by using the dropdown menu to select a different Team Member. |
Type *Required | The type of task. Select the correct Aero type for your firm. |
Company | The name of the company the task is associated with. This can be a customer or your firm or even a lead or vendor. |
Contact | The main contact for that task. |
Category | Is this a Task, Appointment, Email, or Other. This defaults to what was set in the Library, but you can change it. |
Status | The status of the task (Not Started, In Progress, Completed, Canceled, Deferred). Generally, when creating a new Aero, you will leave the status at NotStarted. |
Priority | The task’s priority (Normal, Elevated, Critical). |
Hat | The job ‘hat’ the staff member is wearing for this task. |
Project | The project this Aero is associated with (choose from the drop down menu or start typing a project name, company name, or project type to find). |
Billable | Check this box if you will be billing your customer by the hour for performing this task. |
Unscheduled | If the box is checked, this task was not a scheduled task on an Aero list but was started 'on the fly'. |
Subject: *Required | A short title for the task. This will be displayed on the Aero grids and lists. The Subject defaults to the name of the Aero template, but you can change it here. |
Description | The description defaults to a description of the template's purpose, but you can edit it here. For example, you can use this space to add special instructions to the team member doing the work. |
Steps | The steps for performing the task appear here. Unlike a regular Aero you will not be able to edit the steps. If you want to be able to edit the steps in an Aero you create from a Library Template, you need to Clone the Library Template.
|
Show More | Clicking the Show More button will open up more fields that give you information about the Aero:
|
Delete this aero | Click this button to Delete the Aero. |
Close | Click the Close button to close without saving. |
Save and Close | Click the blue Save and Close button to save the Aero and close the Edit Aero window and return to the Library Templates screen. |
